Format Specification Text with AI
Note: The AI formatter runs entirely in your browser — your text is never sent to a server. The first time you use it, it downloads a language model (about a gigabyte) to your browser, which may take several minutes. After that, it’s ready to use without waiting again (until you clear your browser storage).
The Format with AI button tidies up specification text — turning a wall of pasted text into headings, lists, and paragraphs. It’s built into the Specifications editor.
Before you start
Section titled “Before you start”- You need Google Chrome or Microsoft Edge, kept up to date. The formatter relies on a browser feature that Firefox and older versions of Safari don’t have — in those browsers the button is still there, but greyed out, and hovering over it tells you why.
- On first use, your browser downloads a language model. This is a one-time wait — it can take several minutes depending on your internet speed and device. Keep the page open until it’s ready.
- If the button is greyed out or nothing happens, see AI formatting isn’t working.
- Open the specification you want to format and click Edit.
- Click Format with AI — the wand button at the top right of the text editor box.
- A progress bar appears under the button. On first use it reads Loading AI Model while the download finishes; after that it goes straight to Formatting Data.
- When it’s done, the formatted text replaces what was in the editor and a “Text formatted” message appears.
- Review the result. If you’re happy with it, click Save. If you’re not, press Ctrl+Z (Cmd+Z on a Mac) in the editor to put your original text back.
Nothing is saved until you click Save, so you can always leave the page to discard the change.
What the formatter does
Section titled “What the formatter does”The formatter focuses on tidying the text — adding headings, fixing inconsistent formatting, correcting lists, and applying consistent capitalization and punctuation. It is not designed to change the meaning of the content or to add anything that wasn’t there.
Always review the output before saving to make sure the meaning is preserved correctly.
If the text is too long
Section titled “If the text is too long”The formatter works on one editor’s worth of text at a time. If a specification is too long, it stops and tells you to try a smaller section — your text is left exactly as it was. Format the spec a section at a time instead.
The same is true of any other failure: if the formatter can’t finish, your original text is put back untouched.
