Tasks

Tasks are the individual work items that make up your projects. They’re how your team tracks what needs to be done, who’s doing it, and how long it takes.

Each task has:

  • Name
  • Parent task — for nested tasks (see Sub Tasks tab)
  • Project / Phase — where the task lives: a phase, a whole project (no phase), or nothing at all (a standalone task). When picking a phase, you can search by the phase name or the project name — typing a project’s name shows all of its phases
  • Time allotted — the planned hours
  • Time spent — hours logged against the task, plus any hours logged on its sub tasks

Every task that isn’t itself a sub task also shows two more fields on its page (0 when it has no sub tasks): Allotted to Sub Tasks, the hours its sub tasks are allotted in total, and Logged on Sub Tasks, how much of its time spent was logged on sub tasks.

  • Due date
  • Fee type — Billable, Unbillable, or Extra Service
  • Description
  • Assigned to — which team members are responsible; a task you create is assigned to you by default
  • Dependencies — tasks that must start before this one, and tasks that can’t start until this one is done
StatusMeaning
OpenCreated but not yet being worked on
To DoQueued up and ready to start
In ProgressActively being worked on
CompletedDone
On HoldTemporarily paused
CancelledNo longer needed

A task’s status is shown at the top of its details card. At the top of the page, next to Edit Task, is a button for the most likely next step: Move to To Do for an open task, Start Task for a to-do, Complete Task for one in progress, Resume Task for one on hold, Reopen Task for a completed task, and Restore Task for a cancelled one. To pick any other status, click Change Status beside it.

Completed and cancelled tasks can’t be edited. Reopen or restore the task first to make changes.

Open any task to see:

To-DoA checklist of action items within the task
ActivityTime log entries — who worked on this and for how long, including entries on its sub tasks (each noting which sub task it was logged on)
Sub TasksEvery child task nested under this one, whoever it’s assigned to
FilesFiles attached to this task, grouped into categories — see Files & Attachments
HistoryA log of changes to the task

Time is tracked through activities on the Activity tab. See Log time with activities.

Time on a Billable or Extra Service task can be put on a client invoice — see Billing logged time. Once it’s billed, the entry shows a Billed tag with the invoice number, which opens the invoice if you can see invoices. Billed time can’t be edited or deleted; take it off the invoice first.

You can edit or delete only the time you logged yourself. For anyone else’s time, or billed time, click the eye icon to see the entry’s details.

Tasks can be viewed in two ways:

  • List view — Browse and filter all tasks, grouped into a collapsible panel per project. Use Collapse All and Expand All above the panels to fold or open every project at once.
  • Kanban board — See tasks in columns by status. See The Kanban board.

You can also reach this page pre-filtered from a project: the View Tasks button on a project detail page shows that project’s tasks, and each phase has its own View Tasks button. See Projects.
